021 Document Templates

Purpose & Benefits
This function lets you maintain the Document Templates for your MultiTAS function/reports, such as adding new Template files to the list, naming/renaming a Template item and changing its location and/or filename.
It is here that you can add your own templates to the system.

A form is displayed as shown below so that you can maintain the details in a grid; this makes for easier maintenance of this data. From the drop-down list at the top of the form you can select which document types to display.

The form also displays two tick columns to indicate:

Def” – which Templates are currently set as Default for the different document types in the grid. You can click a different Template item (cell in the “Def” column) to make it the new default for that document type; any changed information is saved to update the module’s default Setting.

Std” – which Templates are the (Infoplex) Standard for each of the document types in the grid; these cannot be changed by you.

To set/amend the Location of any Document Template and the File Name of non-Standard templates by using the browse  button. If any Locations are left blank (undefined), the Location field shows as “TAS Data Folder”. Browsing with a Standard Document Template only allows the Location folder to be selected, not the Filename, because this cannot be changed – however, a check is made to ensure that the Standard Document Template Filename’s file actually exists in the selected Location folder.

New Template

To insert a new Template Definition click on the New button, which causes a browse dialogue with all the Templates files (those ending “.rpt“) in the company folder listed.

Select the file you need to add by double-clicking it (or clicking it once and clicking the Open button). The Maintain Document Template form is displayed as shown below.

The File Name and Name are inserted in the New Template form, the latter with the file internal Title (if any). If you wish to change the Name , now is the time to edit it. Then click the OK button to save the new Template record; the new template is displayed in the main form.

Change Details

To amend the details of a template double-click the drill-down  button to bring up the same Maintain Document Template form. You can amend the template name and the number of copies of Document Templates; click the OK button to save your amendments.

Set Document Name

As of MultiTAS v6.4 you can now configure the name of the file produced by MultiTAS when producing some documents.
To do so, click the chevron [>] button to the right hand side of the Document Name field. A ‘Set Document Name’ form appears as follows.

Drag/drop the available fields at the top into the Filename Fields textboxes in the middle of the screen. You can also set what the separator character should be – choices are space, dash or underscore.

A Preview of what your configuration looks like is shown under the Separator dropdown.

Once you click Save, you are then asked if you want to apply these same ‘Document Name’ settings to the other templates configured for this Document type.

Deletion

To delete an existing Template record, having positioned the cursor in the grid on any cell in the row of the record which is to be deleted, press the Delete button. If the deleted Template record is (i.e. was) the current Default for that Document Type, the Infoplex Standard one becomes the Default automatically, until you select another Default as described above.

Click Yes to confirm.

Exit

When you are satisfied with the changes made, click on the X close button to return to the Main Menu form.
