041 Maintain Users

Purpose & Benefits
This function lets you add new users to MultiTAS, or edit existing ones.
You can precisely define what MultiTAS programs a user can (and cannot) access. You can also configure whether they are a ‘Supervisor’ level user or not.

The Maintain Users screen shows a list of users setup to use Infoplex software in general. This is at odds with how TASBooks user management works whereby each company has its own list of users. The ‘Has Access to this Company’ column advises which users are setup to use this company we are logged into.

Adding a New User

On clicking the Add button, a blank version of the ‘Maintain User’ form is displayed ready for you to fill the required details in. Below is a brief rundown of the fields on the General tab.

IDThis is the User Code that the user will enter when logging into MultiTAS. It is limited to 10 characters and must be upper case. For ease, we recommend using the same user code that is used with TASBooks.
NameUsers Name (will be displayed on reports and some documents)
Set PasswordCheckbox – check the box as necessary to enable a password be set
PasswordEnter the password the user will use to logon to the system.
Confirm PasswordRepeat the password
Infoplex SupervisorIndicates whether a user is a ‘Supervisor’ level user.
DiscontinuedIndicates whether the user is Discontinued in this company
Email AddressEmail address – needed when emailing documents out (e.g. statements, remittances, invoices etc)

Setting Access Rights

To set up the programs in MultiTAS this user will have access to, click the Access Rights tab. Clear or select the options you want for the user. You can use the provided Select All and Clear All buttons to quickly select all or no options.

There are three additional useful options (Edit/Delete Rights is a deprecated feature, soon to disappear) :

Supervisory Rights – signals whether the user is Supervisor level or not
Clear Users Logins – optionally if enabled, allows this user to log other users out of MultiTAS as needed
TAS UserID – means to map/link this MultiTAS user account to the corresponding TASBooks user account. Compulsory

Editing a Users Details

On clicking the Edit button, the existing user details are displayed in the ‘Maintain User’ form ready for you to make the changes needed. If you need to reset the users password then tick the ‘Set Password’ checkbox to activate the Password fields.

Any required changes to User Access Rights are made in the Access Rights tab.

The ADMIN User

This is a built-in user account, a little like the “SPV” user account in TASBooks. It should have access to all programs and thus be used with care. Some options in some MultiTAS programs require the use of the ADMIN user.
